This case study details the design and development of Teachpay, a solution by Teachmint aimed at streamlining fee management and online payments for educational institutions. Teachpay simplifies the fee collection process, making it more efficient and hassle-free for both institutions and parents.

              Problem Statement:

              Educational institutions often struggle with traditional fee collection methods, which can be time-consuming, inefficient, and prone to errors. These problems include:

              • Manual Processes: Handling cash payments, generating receipts, and manually updating records.
                • Lack of Transparency: Difficulty in tracking fee payments and outstanding dues.
                  • Inconvenience for Parents: Parents facing challenges in making payments through traditional methods, requiring them to visit the institution physically.
                    • Reconciliation Issues: Difficulty in reconciling payments and managing accounts.

                      Goals:

                      The primary goals of this project were to:

                      • Design a user-friendly platform for managing fee payments.
                        • Enable online fee collection to provide convenience for parents.
                          • Automate fee tracking and reconciliation processes.

                                User Research:

                                • Conducted interviews with school administrators, accountants, and parents to understand their needs and pain points related to fee payments.
                                  • Analyzed existing fee management systems and identified areas for improvement.
                                    • Gathered requirements for features such as payment reminders, online receipts, and reporting.

                                                Design Process:

                                                1. Information Architecture: Designed a clear and intuitive structure for the Teachpay platform, organizing features related to fee collection, payment management, and reporting.
                                                  1. Wireframing: Created wireframes to outline the layout of key screens, including the dashboard, payment gateway, and reporting sections.
                                                    1. UI Design: Developed a clean and modern user interface that is easy to navigate and visually appealing. The design emphasizes clear calls to action, easy access to payment information, and a seamless payment flow.
                                                      1. Prototyping: Created interactive prototypes to test the user flow and validate design decisions.

The dashboard highlights key performance indicators (KPIs) such as total revenue, pending payments, and collection trends. It also provides quick links to book a demo or talk to an expert.
